Access to Digital Image Collection

The VRC shares a digital image repository called IMAGEN with the College of Architecture, Planning and Landscape Architecture (CAPLA). A Login and Password are required for security and copyright purposes. Distance access to the IMAGEN database is available to faculty and graduate students for research and teaching purposes. Please see a VRC staff member for login and password assignment. Distance access for students is only available to those currently enrolled in a course utilizing portfolios set up by faculty and only for the semester enrolled. Individual student log in IDs and passwords are updated every semester. Faculty wishing to make IMAGEN portfolios available to their students must provide a roster of enrolled students to the VRC. We ask that you give us two weeks advance notice. Faculty will then provide log in ID’s and passwords to students. Art History Graduate students and faculty may also access the image database for their research and study purposes on-site at the VRC. Please see a curatorial staff member for assistance.


Imagen Login Instructions

Ordering Images

In order to avoid duplication of either analog or digital images, patrons are required to research the collection before placing their orders. Images can be scanned from books or transparencies. Orders must be accompanied by an order sheet which must be filled out in its entirety. Incomplete order sheets will not be processed. We ask for as much lead time as possible when placing your orders as certain times of the year can become quite busy and we cannot guarantee less than 2 week turn around times.

Instructors are encouraged to submit their digital or analog image requests for courses one semester in advance to insure that their materials will be completed in time. As an option, those wishing to transfer their lecture slides to digital media may submit slide carousels from completed lectures to the VRC for digitization. This option ensures that lectures will be digitized for the next time the course is taught. The VRC reserves the right to refuse to digitize slides of poor quality and/or slides purchased from commercial vendors due to copyright restrictions. In the event that a slide cannot be processed, patrons will be notified and we will do our best to locate an alternative image source. As of January 1, 2006 the VRC will no longer provide analog production services.

The VRC does not accept digital image donations for the following reasons:

  • Potential copyright violations
  • Consistency and accuracy of descriptive metadata
  • Consistency and accuracy of technical metadata
  • Image quality, size and format

Control of the digital imaging process is imperative to insure the retrieval and access of images in the most efficient manner possible. We appreciate your cooperation in this matter.
